or the offshore activities in FLC Marine, we are looking for skilled and dedicated Office Coordinator/Vessel Planner.
The Office Coordinator/Vessel Planner plays a crucial role in facilitating the smooth operation of maritime operations by coordinating vessel schedules and overseeing administrative tasks. This position involves liaising with various departments, vessel operators, port authorities, and external stakeholders to ensure efficient vessel planning and timely execution of operations.
Who is FLC?
Femern Link Contractors, FLC, is the joint venture responsible for the design and construction of the Northern Europe’s biggest construction project resulting in the longest immersed tunnel in the world. Our joint venture consists of nine international construction companies with individual experience in large infrastructure projects. Together, we are committed to working together to deliver a state-of-the-art immersed tunnel, portals and ramps, delivered on time and safely, in a sustainable and ethical manner.
Main responsibilities (but not limited to):
1. Vessel Planning and Scheduling:
- Develop and maintain vessel schedules based on customer requirements, cargo volumes, port availability, and transportation regulations.
- Coordinate with vessel operators to optimize vessel utilization, minimize turnaround times, and ensure timely departures and arrivals.
2. Documentation Management:
- Manage the preparation, processing, and filing of vessel-related documentation, including cargo manifests, bills of lading, port clearances, and customs declarations.
- Ensure accuracy and completeness of documentation to facilitate smooth cargo movements and regulatory compliance.
3. Administrative Support:
- Provide administrative support to the operations team, including scheduling meetings, preparing reports, managing correspondence, and maintaining office supplies and equipment.
- Assist in the coordination of travel arrangements, accommodation bookings, and other logistical support for staff and crew members as needed.
4. Risk Management:
- Monitor potential risks and operational challenges, such as adverse weather conditions, port congestion, or vessel delays, and implement contingency plans to mitigate disruptions and minimize impact on operations.
- Identify opportunities for process improvements and efficiency enhancements in vessel planning and logistics operations.
Qualifications / Experience:
- Bachelor's degree in Maritime Studies, Logistics, Business Administration, or a related field.
- Previous experience in vessel planning, logistics coordination, or maritime operations is preferred.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders, both internally and externally.
- Proficiency in maritime software applications, MS Office suite, and other relevant tools for scheduling, documentation, and data analysis.
- Sound decision-making and problem-solving abilities, with a proactive approach to identifying and resolving operational issues.
- Familiarity with international shipping regulations, industry standards, and best practices.
- Ability to work flexible hours and adapt to changing operational requirements, including weekends and holidays, as needed.
- Strong commitment to safety, compliance, and continuous improvement in vessel operations and logistics coordination.
